Position: Event Coordinator Location: Walnut Creek, CA or Reno, NV POSITION SUMMARY Do you want to join a small, but mighty marketing team that is fun to work with and accomplishes a lot together? If so, we are looking for an experienced event planner to manage production from concept through completion, helping solidify our reputation for memorable events.
The ideal candidate is passionate, creative, detail-oriented, and dedicated to providing excellent client service at every turn.
This role is great for someone who is well-versed in all aspects of event, meeting, and conference planning, including cost containment, venue scouting, equipment logistics, room setup, and best practices.
The best candidate for our company is an event planner who can manage the daily details and use big-picture thinking to ensure truly unique experiences for our clients and prospects.
OBJECTIVES OF THIS ROLE: · Manage all aspects of event planning, meet strict deadlines, and stay within budget · Nurture and build relationships with vendors, venues, and other industry contacts while crafting and implementing the creative and logistical aspects of all events · Remain current (or ahead of the curve) with trends in event planning, design, and production, and proactively identify and solve operational challenges · Establish procedures and best practices for AEI’s events ESSENTIAL DUTIES & RESPONSIBILITIES · Coordinate with internal staff, clients, and vendors to establish the requirements for an event, and serve as liaison to senior executives, industry leaders, and vendors throughout the planning process · Locate resources, visit sites, and lead pre-event meetings to help staff make decisions about event design · Plan and facilitate logistics for all events, including contract negotiations, guest lists, venue preparation, presentation materials, security, catering, entertainment, transportation, equipment, decor, and marketing materials (in collaboration with the marketing team) · Oversee client experiences from concept through post-event review; manage on-site preparations, production, and event breakdown; and ensure consistent, high-level service throughout all phases · Build and maintain a comprehensive database of industry contacts, vendors, and venues · Troubleshoot any issues that arise on event day · Track ROI of events to the extent possible REQUIRED SKILLS & QUALIFICATIONS · Proven success in event planning and coordination · Strong interpersonal and communication skills · Excellent organizational skills, including multitasking, time management, and attention to detail · Ability to make good decisions quickly · Experience with the Microsoft Dynamics platform PREFERRED SKILLS & QUALIFICATIONS · Bachelor’s degree (or equivalent) in event management or related discipline · Experience in marketing or public relations · Flexibility for domestic travel, as needed PHYSICAL REQUIREMENTS The work environment may be both indoors and outdoors.
Indoor work takes place in a typical office setting.
The noise level in the work environment is usually moderate.
Outdoor work requires the ability to effectively perform work in all types of weather conditions.
While performing the duties of this job, the employee is regularly required to sit, type, handle office and/or field equipment, speak and hear.
The employee may occasionally be required to stand, walk, balance, kneel or crouch.
The employee may be required to lift and/or move up to 25 pounds.
Specific vision abilities required by this job include close vision and the ability to focus.
