Location: San Leandro, CA (Headquarters)
Hours: Monday - Friday, 1:00 - 6:00pm (Part-Time)
Hourly Pay: $19 - $21 per hour

Primary Function: The receptionist provides regular clerical and administrative support to Club staff; prepares correspondences and reports, maintains schedules and calendars; serve as Club receptionist and face of organization, greeting all members and visitors, answers telephones.
Audit and maintain relationships between organizations, tech vendors, and day to day maintenance of shared drive.
The receptionist is responsible for performing various functions including management and communication on exterior/interior building operations.
Trains staff in basic facility procedures and equipment uses.
Key Roles (Essential Job Responsibilities): Leadership: Performs regular secretarial duties, preparing correspondence and reports as requested by supervisor and composes draft letters following established formats.
Proofreads all materials for accuracy prior to supervisory review and signature.
Help steward and support opening and closing procedures.
Steward general interior/exterior building maintenance.
Serve as Club receptionist and face of organization, greeting all members and visitors and maintaining attendance and visitor logs.
Provides day-to-day support of the executive administrative team.
Maintains highest level of professionalism and exudes a positive and friendly demeanor.
Answers telephones, providing general information, referring callers to other staff, or taking messages, as necessary.
Maintains electronic and hard copy filing systems, making sure they are accurate and timely and facilitate easy retrieval of information.
Monitor office supply inventory and order supplies, as necessary.
Creates and manages payment spreadsheets within CRM database and excel to track Club Site participant registration fees.
Responsible for managing inventory of office equipment and service contracts, performing routine maintenance activities, and contacting service representatives as needed.
Perform other related secretarial or administrative duties as requested.
Resource Management: Ensure that a clean, healthy, safe, welcoming, and positive environment is created and maintained producing a sense of physical and emotional safety.
Ensure that staff and others are trained in the use of Club equipment, delegated admin procedures and protocols.
Partnership Development: Manage partnerships with organizations providing subsidized assistance to Club members.
Represents the organization and interprets its objectives, standards, and programs.
Additional Responsibilities: Exercise authority in problems relating to facility safety issues.
Assume other duties as assigned.
Relationships: Internal: Maintains close, daily contact with Club staff (professional and volunteer) and supervisor to receive/provide information, discuss issues, explain guidelines/ instructions; instruct; and advise.
External: Maintains contact with club members, families and the general public to give and obtain information, either in response to inquiries or as instructed by supervisor.
Skills/Knowledge Required: Bi-lingual preferred (fluent English and Spanish).
Combination of education, training, and experience equivalent to 3 years in office administration role.
High school diploma required.
Bachelor’s Degree from an accredited institution of higher education preferred.
Demonstrated knowledge of processes related to office/administrative management.
Understanding of procurement standards and procedures.
Good written and verbal communication skills.
Good organization and attention to detail.
Strong customer relations skills.
Able to maintain strict confidentiality.
